This will usually create a lot of problems. The better way to solve problem like this is ro tell the management up front to give the bill to the sponsor instead of the individual. All I can see is the miscommunication that happen. I will never never want to organise thing like this except the sponsor give me a budget and I get those ppl to prepare something of this budget which will save up a lot of works and misunderstandings. Summore with the booze, it's not doing any good also. However, you did a great job to have something different.
